Terms & Conditions

The following Terms & Conditions are applicable to individuals registering as regular delegates for any conference organized by Automantia Events (hereinafter referred to as "the conference"). These terms apply universally to all conferences, registrations, and sponsorships conducted by Automantia (hereinafter referred to as "the conference organizers").

Any mentions of dates or deadlines in these terms and other conference-related documents refer to the Indian Time Zone (IST).

CONFERENCE

CANCELLATION OF THE CONFERENCE

​

In the event that the conference is unable to take place or is postponed due to circumstances beyond the control of the conference organizers (force majeure) or events not resulting from intentional wrongdoing or gross negligence on the part of the conference organizers, delegates acknowledge that the conference organizers cannot be held responsible for any damages, costs, or losses incurred. This includes, but is not limited to, transportation costs, accommodation expenses, additional orders, financial losses, etc.

Under such circumstances, the conference organizers retain the right to either retain the entire registration fee as credit for a future conference or to reimburse the delegate after deducting costs already expended for the organization of the conference that could not be recovered from third parties.

MODIFICATION OF THE PROGRAMME

​

The conference organisers reserve the right to modify the programme. No refunds can be granted in case of cancellation of speakers, lack of space in the conference room or any other incidents during the conference which are beyond the control of the conference organisers.

​

LOST NAME BADGE POLICY

​

Wearing the conference name badge is mandatory for access to the conference venue throughout the event. Delegates are required to visibly display their issued name badge at all times. Failure to present the name badge may result in denied entry by the conference organizer. In the event that a delegate loses, misplaces, or forgets their name badge, a handling fee of US$ 50.– will be incurred for the issuance of a replacement name badge.

INVITATION LETTER FOR VISA

​

At present, Automantia does not provide visa invitation letters for international attendees planning to attend the conference. We urge all potential attendees traveling from overseas to autonomously assess and meet the essential visa prerequisites and arrangements before finalizing their conference registration.

​

It is important to acknowledge that registrations made without confirming visa requirements are subject to our standard cancellation policy.

​

DATA PRIVACY AND CONTACT DETAILS SHARING

​

Ensuring the protection of your data and respecting your right to informational self-determination in the collection, processing, and use of your personal information is a priority for us.

​

Automantia will collect and securely store all personal data for the planning and execution of the conference. To facilitate border entry and visa applications, contact details of relevant delegates may be shared with immigration authorities.

​

Periodically, Automantia may send emails to delegates on behalf of third parties, providing information about conference activities or other communications that may be of interest. Participants have the option to opt out of these email communications at any time.

​

Registration and Confirmation:

CONFERENCE REGISTRATION

​

Only fully completed registration forms will be accepted. An invoice will be sent after the receipt of your registration, and a confirmation of payment will be sent upon receipt of payment in full. If the full payment has not been received before the deadline indicated, the registration will remain valid, however, the due fee will be increased according to the payment period (early/regular/on-site).

​

The registration fee for delegates includes entry to all event sessions, the exhibition and poster area, the opening session and the closing session, provided that sufficient seating space is available. Please note that the security personnel of the event centre are responsible for granting or denying access to event halls in case of overfilling, according to room capacities and national legislation. The conference organizer cannot guarantee available space in every session.

The conference organizers cannot guarantee that a conference bag and other conference materials will be available for late registrations. All conference materials will be distributed on-site.

CONFIRMATION OF REGISTRATION/RECEIPT

​

Upon completion of online registration, receipt of payment, and any required documents, a confirmation of registration/receipt will be dispatched via email by the registration department. Delegates may be asked to provide this confirmation/receipt at the registration counter as evidence of their registration and payment.

​

PAYMENT METHODS

​

Advance payments can be made using Stripe, PayPal, credit cards, or bank transfers. The transmitter is responsible for covering all bank fees and money transfer costs. Any negative balance will be collected on-site. Please include the registration number and the delegate's full name as a reference on all bank transfers.

​

DELEGATE NAME CHANGE PROCEDURE

​

Submission of a new registration form for the substitute delegate is not required. Name changes are accepted via email, indicating both the old and new names along with the necessary contact details, up to 20 days before the event. After this date, all name changes must be processed on-site and paid directly.

​

CANCELLATION POLICY

​

In the event of cancellation due to sickness, lack of funding, or any other personal reasons, notice must be given in writing via email to the Automantia Office at info@automantia.in. The notification should include all relevant information for possible refund processing. Cancellation is effective only upon receipt of a written acknowledgment from the Testingmind Conference Registration Department.

​

Refund percentages are as follows:

  • Before 60 days from the event: 100% Refund

  • Before 45 days from the event: 75% Refund

  • Before 30 days from the event: 25% Refund

  • Within 30 days from the event: No Refund

​

Refund eligibility is determined based on the date of the email receipt. Bank details should be included in the written cancellation. Refunds will be processed post-conference.

For overpayment or double payment situations, refund requests must be submitted in writing to the Automatia office via email.

​

No refunds will be issued for unattended events, early termination of attendance, cancellation of speakers, lack of space in the conference room, or other incidents beyond the control of the conference organizers.

​

Participants acknowledge, by registering for the Testingmind conference, that the organizing committee assumes no liability. Participants are advised to arrange their health and travel insurance independently, as the conference fee does not cover travel, accommodation, or insurance.

SPONSORSHIP TERMS AND CONDITIONS:

Sponsorship Package:

​

Automantia Events welcomes sponsors to participate in our events and conferences, subject to the following terms and conditions. By engaging in a sponsorship agreement with Automantia, the sponsoring entity agrees to comply with the stipulations outlined herein.

​

In defining the sponsorship package, the specific benefits and deliverables associated with the chosen level of sponsorship are detailed in the agreement. Any additional or customized benefits must be mutually agreed upon in writing by both Automantia and the Sponsor.

​

Payment and Invoicing:

Payment details, including the total sponsorship fee and the invoicing schedule, are clearly specified in the agreement. All payments are to be made in the currency indicated in the agreement, and compliance with the agreed-upon payment terms is expected.

​

Cancellation and Refund:

Cancellation requests, if necessary, must be submitted in writing to Automantia. The refund process, if applicable, follows the cancellation policy outlined in the agreement. The Sponsor acknowledges and understands these terms related to sponsorship withdrawal.

​

Logo and Branding:

Regarding branding, sponsors grant Automantia the right to use their logos and branding materials for promotional purposes connected to the event. This contributes to a collaborative and mutually beneficial partnership between Automantia and the Sponsor.

​

Promotional Materials:

Promotional materials provided by the Sponsor should adhere to all applicable laws and regulations. Automantia reserves the right to reject or remove any materials deemed inappropriate or inconsistent with the event's theme and values.

​

Event Attendance:

Sponsorship packages may include complimentary registrations, and additional attendees are required to register separately, potentially incurring extra fees.

​

Substitution:

The non-transferability of sponsorship benefits is a key consideration unless otherwise agreed upon in writing by both parties.

​

Termination:

Automantia retains the right to terminate the sponsorship agreement in the event of a breach of terms by the Sponsor, which may result in the forfeiture of sponsorship benefits without a refund.

​

Force Majeure:

Force majeure circumstances are acknowledged, absolving Automantia from liability for any failure or delay in performance arising from events beyond its control.

​

Confidentiality:

Confidentiality is mutually agreed upon, ensuring that proprietary information disclosed during the sponsorship agreement remains confidential between Automantia and the Sponsor.

​

Governing Law:

The governing law for this Agreement is determined by the laws of [Your Jurisdiction], with dispute resolution following arbitration rules outlined by the [Arbitration Organization].

By entering into a sponsorship agreement with Automantia, the Sponsor acknowledges and agrees to adhere to these terms and conditions. Automantia reserves the right to modify these terms at any time, with such modifications becoming effective immediately upon notice to the Sponsor.
